   ALUMNI COUNCIL MEETING MINUTES
 

Minutes of the Hampden-Sydney College Alumni Council meeting, September 5-6, 2003

Friday, September 5
The council was called to order by President Mike Pace ’79. He welcomed the group and thanked them for their loyalty and attendance. The members introduced themselves (SEE ATTENDEE LIST) Mike then introduced Dr. Bortz for his welcome to the group. Dr. Bortz addressed the need to unleash the potential of our alumni through our alumni clubs; to understand the importance of giving back to the College.

Richard Epperson ’79, Director of Development, offered a brief history of the alumni association, from loosely organized group of enthusiastic volunteers with few responsibilities to a now growing organization. He stressed the importance of our alumni volunteering to help with admissions and development goals. He then reviewed the goals for each alumni club.

Jason Ferguson ’96, Associate Dean of Admissions, reviewed the admissions goals for each club. The push is for 1200 applications for admission for the 03/04 year. We have a new group of Assistant Deans who will be on the road for the College in the coming months. Their travels can be tracked via the College website. They will be contacting club presidents and other alumni while in club areas to ask for assistance in recruiting and local contacts. The admissions office has lists of prospective students in each area available electronically.

Ryan Pemberton ’00, Director of the Annual Fund, stated the goal is to increase the number of Founders by 200 this year. Lists of prospective founders will be provided to each club’s leadership team. Alumni are needed to help contact these potential founders – face to face to ask them to step up to the founders level of giving.

The group was taken by van to tour the new fitness center under construction in Kirby Field House and the completed weight room in Gammon Gym.

During the luncheon, Joe Bush, Athletic Director, introduced the College coaches on campus that day, to say a few words about their seasons and teams:

President Pace led the discussion regarding the Alumni Association organizational structure.

President Pace would like to see a National Chairman for Career Development selected very soon. This is an important position that is missing.

Tommy Davidson requested that all clubs choose a local Development Chairman immediately and that they begin to work together as soon as possible. He asked that within 2 months, each club designate a chairman. [CLUB PRESIDENT – ACTION ITEM]

Mike Pace would like for future Alumni Council meetings to be run more like Board of Trustee meetings with breakout committee sessions culminating in brief reports on committee activities being made at the general session.

In order to facilitate the reorganization of the Alumni Association Executive level, the Alumni Association Constitution was amended. MSP

Mike Pace reaffirmed that the Executive Committee must work with each National Chairman to monitor activities at the local club level. In order to be effective, the Executive Committee must help the local clubs maintain interest.

Howard Stracke ’75, Director of Alumni Relations, reviewed the changes to the Homecoming format for this fall and discussed the nominations for the Waters Cup and Alumni Citation awards.

The Charlotte Hampden-Sydney Club was selected to receive the Waters Cup for excellence in programming and activities for 02/03.

Ray Wallace ’60 was selected to receive the Alumni Citation as outstanding alumnus.

During the open forum, Vice President of Institutional Advancement, Beeler Brush provided an update on our campaign. We are currently close to being on track with fund raising at approx. $32 million raised. Our goal will be $90 million. The anticipated public announcement of the campaign will take place in the late fall of 2005 and the campaign is expected to conclude in 2007. It is imperative that we have alumni helping us to raise money and encouraging other alumni to be involved with the College by donating both time and money.

Acting Dean of Students and Vice President of Administration, Dr. Paul Baker commented on his dual roles. He also addressed the quality enhancement planning process underway at the College. The formation of this QEP committee is a part of our accreditation process.

Assistant Dean of Students, Aaron Bachenheimer discussed the freshman orientation program. The process is designed to bond the class – both to each other and to the College.

Associate Dean of Students, Dr. David Klein ’78, discussed the variety of Outdoor Options programs available to students.

Rucker Snead ’81 offered comments about the “H-SC Global” program being developed in conjunction with the Wilson Center for Leadership and a number of alumni in international careers. A forum for students and alumni will be held on the afternoon of Friday, October 17 in Winston Hall. Information will be on the web and in email.

Council members asked Dr. Baker about the current state of the Honor System – the concern being that alumni fear that the system is being taken over by the administration. Dr. Baker assured the council that the system is alive and well at the College. Though societal changes have taken place and some students come to us with different ideas about honor and integrity, the College works with incoming students to educate them about our Honor Code and Honor System. Our Honor System is among the things that truly make the College unique; not just being all male, but our system of values and the understanding that there are implications for bad choices and that they (the students) must accept responsibility for their choices. George Wells, Director of Career Development spoke about the current state of the Career Development program at the College. His office now reports to the Dean of the Faculty. The office maintains a database of over 1400 internships available to our students. This list does not include many that are offered through various departments on campus. George feels it would be valuable for the CD Dept. to either coordinate these internships or to be required to be made more aware of their scope and existence. The department continues to work with incoming freshmen to assist them in their career choices.

In further discussion, it was requested that the Guide for recruiting Tiger athletes be added to the Athletic pages on the web. ACTION ITEM TO S.I.D.

Trustee representative to the Council, John Ellis ’70, commented that the percentage of alumni giving to the College (39%) is very disappointing and unacceptable. Our alumni must be engaged with the College. We must get face to face with our guys and ASK them to support the College. Our club leaders must take this message home to their local alumni groups.

The meeting adjourned for the afternoon. The group reconvened for dinner on the Point at Lake Chalgrove with Dr. and Mrs. Bortz and with new members of the faculty as special guests.

Saturday, September 6

Director of Public Relations, Tommy Shomo ’69, talked with the group about current publicity the College was receiving. Several recent articles had appeared that were very complimentary of the College.

His department is working on a marketing program for the College to saturate a market area. This year, the Tidewater and Charlotte areas will be targeted. The plan will call for the addition of two new areas in succeeding years. The goal is to increase the level of awareness of the College and her mission. Previous efforts only focused on admissions related tasks. Each area will have a plan tailored to its market area after consultation with the local alumni. Themes will be developed from the recent branding study that was conducted for the College.

The branding study: www.hsc.edu/news/articles/brandingstudy.html was conducted to assist the College as it prepares for the coming capital campaign. The documentary film, Shorty, about Walter Simms that was filmed last year is being prepared for release. It will have a world premier in NYC on October 18 and a premier in Richmond, November 14. Information will be mailed to all alumni regarding the Richmond premier.

“The Shorty Alumni Challenge” was presented to the group. This is an opportunity for our alumni clubs to help promote the College in their local areas and help out a local charity. The clubs are challenged to partner with a local charity (Down Syndrome Society or Special Olympics, for example) and promote the showing of the film. Money from ticket sales would benefit the charity.

Details:
The Shorty Alumni Challenge:

Alumni Clubs are encouraged to partner with a local charity to show the film.
  1. There is a charge for the film, not to exceed $500.
  2. The charity will pay the College the charge for the film. All proceeds of the showing above and beyond the charge go to the local charity.
  3. The local charity will take care of the details of the showing: renting the venue, producing the tickets for the event, mailing the invitations to their constituents, and collecting the ticket money, etc. The College will absorb the cost of mailing the ticket announcements to our mailing list. The local charity will provide us the invitations. The alumni club will spread the word among their members, encourage them to purchase tickets and attend the showing.
  4. Hampden-Sydney College stipulates that all publicity and tickets for the event mention the College/local alumni club.
  5. In the event that a local person wishes to subsidize the cost of the film, all proceeds of the ticket sales go to the local charity. The underwriter is subsidizing the local charity. The check may be made directly to the College or to the local charity.
The benefit the College wishes to receive is the positive public relations exposure we gain through the publicity for the event and the showing.

Dr. Saranna Thornton spoke briefly about academics at the College. Her assessment is that while a number of the long term faculty are retiring or getting ready to retire, the new replacements are highly qualified. The Western Culture course is a strong element of our curriculum as is the rhetoric program. The College has been very supportive of faculty research and Dean Fleck very supportive of faculty development.

Dr. Thornton then asked for ideas related to the Summer College. Questions such as format, speakers, luminaries, dates, family activities, reunions, pricing, special programs, linking to students, and duration were thrown out for discussion.

Feedback from those who had attended the program was positive and it was agreed by the Council that the program was a valuable outreach tool and it was hoped the College would continue to offer it. A committee has been formed to discuss the various questions surrounding the program and what possible changes might be effected to strengthen it.

Final discussions:
It was suggested that the College try to engage the Glee Club for alumni events if possible.

Recent graduates should be encouraged to become involved with local clubs and also to attend the Alumni Council meetings. The idea was suggested that they be enticed with help on accommodations for the duration of the meetings, perhaps in Hampden House or the Blake apartments.

President, Mike Pace commented that actual attendance at the Council meeting was much lower than reservations had indicated. We must encourage attendance at these very important meetings. He further challenged the members to carry their enthusiasm home with them to their respective clubs and convince local alumni to get on board with the programs the Council has presented. He pledged to help by communicating to all clubs and club leaders what was accomplished at the meeting and those items left to accomplish. We must have the help from our local alumni.

There being no further business, the meeting was adjourned.
